ABOUT THE ROLE 
This is a great role for someone with initiative and agility; it will be a stepping stone to a career in the construction industry with one of our many business lines. The Business Coordinator provides project and administrative support to the Senior Vice President of Southern Alberta, and the local senior leadership team.  This position reports directly to the SVP. Time management, organization, professional agility and problem-solving skills comprise key components of this role.  

 

WHAT YOU’LL ACCOMPLISH

Projects:

  • Work closely with the leadership team in managing projects and conducting research
  • Support the Communications department with tactical work on intranet, social media, employee townhalls and leadership meetings.
  • Examples of initiatives you may be involved in include; handling negotiations for filming, working on equity, diversity and inclusion initiatives, reviewing community engagement opportunities.

 

Reporting & Documentation:

  • Support the SVP in preparing reports, memos, letters, acting as gatekeeper for confidential documentation and communication .
  • Prepare, compose and initiate various documents, often confidential in nature, such as letters, correspondence, memoranda, agendas, reports, minutes, quotations, notices, postings, tables, forms, spreadsheets, presentation material choosing the appropriate means of communication, including the preparation of materials for executive meetings.
  • Generate and process POs

 

Administration:

  • Work closely with the SVP to keep him informed of upcoming commitments and responsibilities, assist the SVP with calendar management.
  • Organize Southern Alberta Executive Committee Meetings including but not limited to: schedule coordination, agenda preparation, and set up/facilitation assistance on the day of the meeting .
  • Take minutes of Executive meetings, and disseminate professional versions post meeting to those in attendance.
  • Acts as an ambassador for visiting executives, processing of expenses and travel coordination 
  • Prepare both domestic and international travel/hotel/car arrangements for SVP and any visitors
  • Provide a contact point for all persons to contact the SVP, understanding the priority of the contact and acting as an ambassador to all of the SVP’s contacts.
  • Manages corporate event accounts, including allocation, catering and reporting (ie corporate box and stadium tickets). 
  • Demonstrate a commitment to communicating, improving and adhering to health, safety and environmental policies in all work environments and areas. Promote a culture of safety and exhibit these behaviors.

 

WHAT WE’RE LOOKING FOR
Education: Bachelor’s Degree or Diploma.  
Additional Education Preferred: N/A
Field of Study Preferred: Business Administration, Marketing, Finance, Engineering, or a related field preferred.
Required Work Experience: 1 year of experience in a related field. 
Required Training/Certifications: N/A
Required Technical Skills: Advanced proficiency with Microsoft Word, Excel, and PowerPoint. Working Knowledge of Microsoft Projects, Adobe Acrobat, Photoshop/PageMaker, SAP, and Fiori is an asset. 
Travel Requirements: 0-10%

  • Proven ability to handle confidential information with discretion.
  • Highly resourceful team-player, with the ability to also be extremely effective independently.
  • Must be flexible, able to balance multiple tasks and changing priorities, with required urgency.
  • Must have the ability to diplomatically negotiate deadlines and deliverables.
  • Exhibit exceptional organizational skills so as to complete assignments and produce accurate work products in a timely manner without follow-up.
  • Take initiative to research and solve problems.
  • Balances the need to be a gatekeeper with the need to also be collaborative.
  • Excellent proofreading and editing skills.
  • Successful candidates must adhere to all safety protocols and proper use of Amrize approved Personal Protection Equipment ("PPE"), including but not limited to respirators. Employees that are required to wear respirators must be clean shaven where the respirator seal meets the face in order to pass the qualitative and quantitative fit tests.
