ABOUT THE ROLE    

Responsible for providing quality customer service to all visitors and personnel. Provides initial contact, information and/or referrals and services to the general public, customers, visitors, AI staff and other interested parties. Provide information regarding activities conducted at establishment, offices and employees within the organization. Presents a positive image of AI to the public through thorough professional, cooperative, respectful and consistent service to all callers and visitors.  

 

WHAT YOU'LL ACCOMPLISH

  • Under general supervision, operates telephone switchboard to answer, screen and route calls to appropriate contacts. Provides information, takes messages and schedules appointments as necessary. Responds appropriately to all callers (internal and external) and takes action to ensure that callers’ needs are met. This will be accomplished by disseminating information concerning the business, answering routine and sometimes difficult caller questions.
  • Provides first line security at Reception area. Responsible for greeting and assisting all incoming guests including visitors, customers, vendors, employment applicants and the general public. Determines the nature and purpose of the visit and notifies appropriate company contact to escort the visitors. Records visitor’s arrival and departure.  
  • Performs routine administrative support tasks. Types email correspondence, reports and other documents. Files and maintains records. Schedules conference rooms and makes other appointments as necessary.
  • Receives and distributes mail, packages and special deliveries
  • Responsible for maintaining the appearance of the reception area by ensuring the area is neat and orderly. Ensure that any company information (i.e. brochures, etc.) is restocked and presented in a professional manner.
  • Stocking and tidying the kitchen at the end of the day.
  • Other responsibilities as assigned.

 

WHAT WE'RE LOOKING FOR

  • Required Education: High School Diploma or equivalent
  • Required Work Experience: Minimum of 1 year experience performing receptionist duties.
  • Required Technical Skills: Basic computer skills with working knowledge of PC applications (Microsoft, Outlook, Word, Internet, etc.) Proficient in Google Suite products and Zoom.

 

Additional Requirements:

  • Excellent oral (face-to-face and telephone etiquette) and written communication skills along with the ability to effectively interact well with all levels of internal management and staff, as well as with the public (outside clients, guests and vendors).  
  • Detail oriented with the ability to handle multiple tasks at one time.  
  • Able to prioritize work.
  • Strong organization skills.
  • Successful candidates must adhere to all safety protocols and proper use of Amrize approved Personal Protection Equipment ("PPE"), including but not limited to respirators. Employees that are required to wear respirators must be clean shaven where the respirator seal meets the face in order to pass the qualitative and quantitative fit tests.
