ABOUT THE ROLE
The Administrative Assistant is responsible for delivering comprehensive administrative and secretarial support to ensure the efficient operation of the organization. This role encompasses a wide range of activities, including producing and formatting documents, collecting, recording, sorting, and accurately filing information, handling all incoming and outgoing mail, and preparing routine reports and documentation. Additionally, the Administrative Assistant is tasked with, organizing itineraries, scheduling and arranging appointments and meetings, and responding to inquiries from internal and external stakeholders. They also perform data entry tasks, manage reception duties such as answering telephones and greeting visitors, and assist in various administrative tasks to support the smooth functioning of the organization. This role demands a high level of organization, attention to detail, and the ability to manage multiple tasks simultaneously, playing a crucial part in maintaining effective communication and operational efficiency. Furthermore, the Administrative Assistant must demonstrate care and passion for team member engagement, fostering a supportive and collaborative work environment.
WHAT YOU'LL ACCOMPLISH
- Administrative Support and Coordination:
- Manage department calendars, support raw material deliveries, handle expense reconciliation, manage phone calls, supplies, imaging, meetings, meals, travel arrangements, tours, reports, and parcel handling, onboarding new teammates, lead Safety initiatives, and additional duties assigned by plant management.
- Operational and Event Management:
- Oversee the receipt of raw materials and services for production, assist with shipping procedures and purchase orders, and plan events for small and large groups including scheduling, collaborating with other departments, ordering food and supplies, and assembling materials.
- Compliance and Continuous Improvement:
- Conduct internal ISO9000 audits in preparation for annual formal audits, help with continuous improvement within 5S areas, and participate in weekly 5S audit activities. Maintain employee files, data entry, update standards to ensure compliance.
- Relationship and Engagement Facilitation:
- Establish and maintain effective working relationships with staff, customers, vendors, and others. Assist with onboarding activities, facilitate team member and community engagement programs, and support HS&E (Health, Safety, and Environment), sustainability, and human rights site engagement. Ensure smooth functioning of the front office and other administrative areas.
- Demonstrate a commitment to communicating, improving and adhering to health, safety and environmental policies in all work environments and areas. Promote a culture of safety and exhibit these behaviors.
WHAT WE’RE LOOKING FOR
Education: High school diploma or equivalent
- Flexible working schedule (Days and Nights)
- Experience with Microsoft / Google Office Products
- Experienced at multitasking and being self-directed
- SAP experience is preferred
- Data Entry
- Must be able to lift up to 25 pounds
- 3 years of admin experience is preferred
Additional Requirements:
- Successful candidates must adhere to all safety protocols and proper use of Amrize approved Personal Protection Equipment ("PPE"), including but not limited to respirators. Employees that are required to wear respirators must be clean shaven where the respirator seal meets the face in order to pass the qualitative and quantitative fit test.
