Administrative Coordinator

ABOUT THE ROLE
As an Administrative Coordinator, you will support the daily administrative tasks and projects of our pension team within Total Rewards. You will collaborate closely with the Retirement Plans Manager, Treasury, Accounts Payable, and HR teams. The ideal candidate is a quick learner, computer proficient, organized, communicative, and capable of working independently with strong critical thinking skills. Maintaining discretion and confidentiality when handling sensitive employee information is essential.
This is a 6-month term contract position, with the possibility of renewal.
WHAT YOU’LL ACCOMPLISH
- Efficiently collect, categorize, and distribute all incoming mail, ensuring prompt routing to the appropriate teams and individuals.
- Proactively escalate critical information from incoming mail to relevant parties, facilitating timely responses and actions.
- Process all outgoing mail, verifying accuracy and adherence to established procedures.
- Serve as the primary liaison for external vendors and internal payment teams, expertly resolving issues to ensure accurate and timely payments.
- Maintain meticulous invoice tracking files, ensuring comprehensive and up-to-date records.
- Reconcile monthly trust statements, proactively identifying and resolving discrepancies with relevant stakeholders to maintain financial accuracy.
- Execute monthly wire payments for supplemental pension plans, ensuring accuracy and adherence to deadlines.
- Oversee and maintain the pension filing room, ensuring an organized and easily accessible system for physical documents.
- Manage and organize the pension network drive files, ensuring digital records are current, secure, and readily retrievable.
- Efficiently retrieve and provide requested documents from both physical and digital filing systems.
- Demonstrate a commitment to communicating, improving and adhering to health, safety and environmental policies in all work environments and areas. Promote a culture of safety and exhibit these behaviours
WHAT WE’RE LOOKING FOR
- Education: Post-secondary education or a college diploma in office administration.
- Required Work Experience: Two years of relevant experience.
- Required Technical Skills: Proficiency in Excel, Word, and Google Sheets/Docs.
Additional Requirements:
- Ability to work independently and effectively with minimal supervision.
- Strong attention to detail, quick learner, communicative, strong critical thinking skills.
- Successful candidates must adhere to all safety protocols and proper use of Amrize approved Personal Protection Equipment ("PPE"), including but not limited to respirators. Employees that are required to wear respirators must be clean shaven where the respirator seal meets the face in order to pass the qualitative and quantitative fit tests.
