ABOUT THE ROLE
The Project Administrator is an integral part of our site Project Management team, supporting the successful execution of industrial projects through detailed coordination, documentation control, and administrative oversight. This role includes managing project schedules, coordinating internal and external communications, updating weekly and monthly internal and external reports, ensuring timely completion of project deliverables, and facilitating smooth day-to-day office operations.
The Project Administrator ensures compliance with all documentation, cost tracking, safety, and process control measures, while also supporting procurement, billing alignment, and change management activities.
This position is essential for maintaining project integrity and organizational efficiency on and off site.
The project coordinator will directly report to, and support, the Senior Projects Manager, as well as work closely with the Health and Safety manager, the Construction Manager, and the Plant Manager to provide support and ensure effective coordination across all phases of project execution.
WHAT YOU'LL ACCOMPLISH
- Ensure compliance with all H&S protocols and participate in audits or reviews.
- Support the execution of project plans and schedules.
- Support preconstruction, construction, commissioning, and handover activities.
- Provide administrative support to the project team and site personnel.
- Assist in reviewing, aligning, and managing subcontractors’ billing and invoicing.
- Occasional support to the Finance team.
- Demonstrate a commitment to communicating, improving and adhering to health, safety and environmental policies in all work environments and areas. Promote a culture of safety and exhibit these behaviors.
RESPONSIBILITIES & TASKS
- Conduct safety orientations and inspections.
- Coordinate with subcontractors, inspectors, and project stakeholders.
- Lead RFI, transmittals, and document control workflows.
- Facilitate project-related meetings and circulate minutes/follow up on action items.
- Ensure smooth operation of the project office, including: Monitoring and managing office supplies, services, and equipment.
- Processing office-related bills and invoices and following up with various vendors.
- Coordinating administrative tasks (mail, printing, filing, etc.)
- Assist with onboarding and access management for project staff and contractors.
- Track and measure work quantities and progress daily.
- Utilize SAP for procurement related activities; requesting purchase orders, tracking project-related expenditures, receiving goods, and vendor management.
WHAT WE’RE LOOKING FOR
Field of Study Preferred: Engineering Technology, Construction Management or related technicial field
Required Work Experience: 2 - 4 years
Skilled in Microsoft Office Suite, Google Suite, and standard document control systems/procedures.
Proficiency in SAP is required for procurement, cost tracking, and vendor transactions.
Travel Requirements: 10%
