Dispatch and Scale Clerk

ABOUT THE ROLE
The Dispatch & Scale Clerk’s primary objective is the successful and safe shipment of materials to the customer. This includes frequent communication with customers and haulers, processing remote tickets, verifying shipment details and coordinating the dispatch of materials to ensure a timely and safe delivery. Their second objective is providing the customer with a professional level of service by upholding Lafarge Brand appearance and courteous communication. In addition to these objectives they will assist in PO creation, work orders, payroll, and other administrative duties. In addition to the core duties of dispatch & remote ticketing, the Dispatch & Scale Clerk may be asked to assist with leave coverage by traveling to front-end locations to perform weighmaster duties in the absence of regular staff. This may include coverage for medical appointments, emergencies, or scheduled vacations.
WHAT YOU’LL ACCOMPLISH

- Follow the Dispatch Daily Checklist to identify, record, and communicate changes to Dispatch aiming to minimize delivery disruptions to the customer.
- Assign and coordinate trucks and personnel for deliveries, ensuring on-time and efficient use of resources, including planning routes, managing delivery schedules, and communicating with drivers and customers.
- Practice good housekeeping principles in all areas of work including the scale house and yard, ensuring the scale house and surrounding area is kept safe, presentable and functional.
- Operate APEX system according to standard operating procedures to check/tare in trucks and produce weigh-bills/tickets for the shipment of goods in an accurate and timely manner (ie: no overloads).
- Collect documentation as per Front-End guideline for transport vehicles and transfers to the LM.
- Proactively communicate customer, transport and system issues with LM, sales and back-office to ensure timely resolution.
- Collect money for cash sales and reconciles against register as prescribed by control procedures.
- Administer resale ticket entry into APEX system in a timely and accurate fashion according to standard operating procedures to meet or exceed established OPIs for customer on-time and accurate invoicing.
- Assist in PO creation, receiving, work orders, payroll, and other reporting as required through SAP.
- Provide assistance via phone or face-to-face contact with visitors and direct them to appropriate personnel for further assistance.
- Where required, support the Logistics Manager by following the Load & Scale Policy and STP Policy programs.
- Produce daily, weekly and monthly reports as prescribed by Standard Operating Procedures and Policies.
- Responsible for safety, hazard and violations reporting for drivers on site.
- Operating SAP/APEX systems (ticketing, PO, reports), while adhering to STP and load & scale policies.

WHAT WE’RE LOOKING FOR
- Microsoft Office proficiency.
- Excellent computer skills and proficient in Excel.
- Experience working with customers / dispatching.
- Ability to work / communicate effectively as a member of a team, while being detail-oriented, thorough and accurate.
- Positive and optimistic attitude and ability to work well under pressure.
Additional Requirements:
- Knowledge of the construction industry would be an asset, but not essential.
- Travel Requirements: 20%
- Successful candidates must adhere to all safety protocols and proper use of Holcim approved Personal Protection Equipment ("PPE"), including but not limited to respirators. Employees that are required to wear respirators must be clean shaven where the respirator seal meets the face in order to pass the qualitative and quantitative fit tests.
