ABOUT THE ROLE
The Office Coordinator / Inside Sales acts as an ambassador for the Precast Plant office of Amrize Western Canada, attending to both internal and external guests in a professional manner while supporting the daily upkeep of the office. This role provides administrative and inside sales support to the Precast management team and Calgary Precast Operation, including dispatch coordination, general assistance to Sales, SAP invoice reconciliation, PO creation, receiving of invoices for payment, and overall office support.


This position is a 6-month contract to start with a possibility of an extension. 

 

WHAT YOU’LL ACCOMPLISH

  • Process sales orders; create sales orders for standard products for upcoming customers in Order Management program; assist small-volume (misc) customers with pricing, taking and processing orders
  • Process and manage payments to haulers; work with hired trucking companies to make sure logistic requirements are met and deal with issues as they come up (wait time, drivers, tie-down methods)
  • Assist with inventory control; enter returned goods, culls & shipping into inventory management spreadsheet; monitor stock of 3rd-party items
  • Dispatch duties including: scheduling deliveries; coordinating loads; manual and SAP ticketing; assist with the shipping process and invoicing in SAP for standard products
  • Process PO’s and receive goods for consumable or maintenance items; coordinate with other Amrize Precast operations to balance inventory, formwork and source product
  • Liaise with Project Managers daily in regards to product requirement for customer projects and assist in providing scheduled solutions based on customers’ needs; manage and solve customer complaints and issues as it relates to shipping & inventory; this role will have a high level of interaction with other departments such as Operations/Project Management and requires ability to build relationships and get up to speed quickly on needs of the sales, operations and offer solutions
  • Working with yard-staff (forklift operators) to organize yard in effective manner; ability to make basic math calculations like area, volume, drawing interpretation, etc.
  • Greet internal and external guests in a courteous and professional manner; answer the main phone line and respond to general inquiries from the public; maintain visitor orientation tracking system; manage phone lists and reception job aides/manual
  • Support administrative functions of the Sales and Estimating department including project documentation, drawings and specifications, filing (hard copy/electronically), and follow-up phone calls; perform general office duties including faxing, mail distribution, and maintaining department files; ensure common area equipment is functioning and arrange service as required; order and maintain office supplies; liaise with building maintenance and external vendors; provide backup administrative support to the General Manager and Sales Managers
  • Demonstrate a commitment to communicating, improving and adhering to health, safety and environmental policies in all work environments and areas. Promote a culture of safety and exhibit these behaviors.

 

WHAT WE’RE LOOKING FOR
Education: High School diploma required 
Required Training/Certifications: CT or CET certification is preferred, though not mandatory
Required Work Experience: 2+ years of administrative experience.
Required Technical Experience: Proficiency with MS Office. Proficiency in SAP an asset, but not required


Additional Requirements: 

  • Knowledge of precast products and construction an asset, but not required
  • Easily able to deal effectively with customer complaints in a professional manner
  • Excellent telephone manner
  • Able to establish and maintain effective working relations with other staff, truckers and customers
  • Able to work under pressure with fluid deadlines and changing circumstances
  • Self-starter, willing to do work outside job description as required
  • High level of time management and task prioritization skills
  • Excellent written and oral communication and teamwork/interpersonal skills
  • Excellent customer service skills.
  • Experience managing business expenses, SAP preferred.
  • Experience scheduling travel and accommodations through an on-line booking system
  • Successful candidates must adhere to all safety protocols and proper use of Amrize approved Personal Protection Equipment ("PPE"), including but not limited to respirators. Employees that are required to wear respirators must be clean shaven where the respirator seal meets the face in order to pass the qualitative and quantitative fit tests.
