ABOUT THE ROLE
The Production Clerk is responsible for delivering comprehensive administrative and secretarial support to ensure the efficient operation of the organization. This role encompasses a wide range of activities, including producing and formatting documents, collecting, recording, sorting, and accurately filing information, handling all incoming and outgoing mail, and preparing routine reports and documentation. Additionally, the Production Clerk is tasked with organizing itineraries, scheduling and arranging appointments and meetings, and responding to inquiries from internal and external stakeholders. They also perform data entry tasks, manage reception duties such as answering telephones and greeting visitors, and assist in various administrative tasks to support the smooth functioning of the organization. This role demands a high level of organization, attention to detail, and the ability to manage multiple tasks simultaneously, playing a crucial part in maintaining effective communication and operational efficiency. Furthermore, the Production Clerk must demonstrate care and passion for team member engagement, fostering a supportive and collaborative work environment.
WHAT YOU'LL ACCOMPLISH
- Administrative Support and Coordination:
- Primary person to answer phone calls, take messages, answer door cameras/intercoms
- Manage department calendars, support raw material deliveries, handle expense reconciliation, manage, supplies, imaging, meetings, meals, travel arrangements, tours, reports, and parcel handling.
- Update A3 production files as needed.
- Order and update office supplies as needed, coordinate janitorial services for office and plant.
- Call sales reps to get shipping information on open orders (primarily at the end of the month)
- Operational and Event Management:
- Oversee the receipt of raw materials and services for production, assist with shipping procedures and purchase orders, and plan events for small and large groups including scheduling, collaborating with other departments, ordering food and supplies, and assembling materials.
- Support customers with scheduling hotel reservations and other travel arrangements as needed for attendance of training classes.
- Compliance and Continuous Improvement:
- Conduct internal audits in preparation for annual formal audits, help with continuous improvement within 5S areas, and participate in weekly 5S audit activities.
- Relationship and Engagement Facilitation:
- Establish and maintain effective working relationships with staff, customers, vendors, and others.
- Lead/Assist with onboarding activities and training for new hires, assist with personnel paperwork, security badges and temporary staff member timesheets, facilitate team member and community engagement programs
- Support HS&E (Health, Safety, and Environment), sustainability, and human rights site engagement.
- Ensure smooth functioning of the front office and other administrative areas.
- Demonstrate a commitment to communicating, improving, and adhering to health, safety, and environmental policies in all work environments and areas. Promote a culture of safety and exhibit these behaviors.

Education: High School Diploma or Equivalent
Field of Study Preferred: N/A
Required Work Experience: 1-3 years in an office setting. Manufacturing experience preferred.

Additional Requirements:
- Successful candidates must adhere to all safety protocols and proper use of Amrize-approved Personal Protection Equipment (PPE), including but not limited to respirators. Employees who are required to wear respirators must be clean-shaven where the respirator seal meets the face in order to pass the qualitative and quantitative fit tests.
