ABOUT THE ROLE
The Operational Assistant provides essential front-office reception and operational administrative support to the Aggregates and Ready-mix management teams and site teams including the General Manager. This role brings rigor, organization, and efficiency to regional operations by managing office workflows, maintaining presentation decks, tracking operational metrics, and serving as the primary point of contact for the Bearbrook office.
WHAT YOU’LL ACCOMPLISH
- Assist management in updating, formatting, and preparing monthly business reviews, market strategy slides, and operational presentation decks (PowerPoint).
- Prepare meeting agendas, draft routine correspondence, coordinate travel/meeting logistics, maintain organized administrative workflows, prepare expense reports, and reconcile credit card statements.
- Support data integrity in SAP for an efficient flow of production data, uninterrupted product supply, equipment maintenance, inventory, and purchasing.
- Serve as the first point of contact for the Bearbrook office, greeting visitors, customer haulers, contractors, and delivery personnel, as well as managing incoming communications.
- Order and maintain office supplies and site consumables, oversee equipment maintenance, and manage office filing, archiving, and record retention compliance.
- Assist with aggregate production tracking (mobile crushing efficiency, downtime, metrics) and compile data for annual site reporting (environmental compliance, water taking/PTTW, energy, emissions, safety).
- Ensure visitors and contractors complete required site safety sign-ins and orientations, and participate in safety initiatives and site rescue drills.
- Process local payroll entry for quarry operators, mobile equipment drivers, and maintenance staff.
- Assist with employee onboarding, enrollments, personnel file maintenance, MyLife requests, and process Employee Modification Forms (EMF).
- Track and maintain employee safety and training records, and support scheduling of site training activities.
- Demonstrate a commitment to communicating, improving and adhering to health, safety and environmental policies in all work environments and areas. Promote a culture of safety and exhibit these behaviours.
WHAT WE’RE LOOKING FOR
Education & Work Experience
- High School Diploma with a minimum of 5 years of administrative/operational experience supporting management in an industrial, aggregate, mining, or corporate environment; OR
- College Diploma in Office Administration, Secretarial Studies, or Business Administration with 3 years of relevant experience.
- Experience formatting and updating presentation decks, handling basic payroll, or providing operational administrative support is strongly preferred.
Key Competencies
- Action-Oriented & Initiative: Able to prioritize multiple operational and administrative requests with minimal supervision.
- Bilingualism: Bilingual (English and French, written and spoken) is preferred for cross-market coordination.
- Customer Focus & Interpersonal Skills: High standard of confidentiality, polished interpersonal skills, and professional demeanor when dealing with customers, suppliers, and site staff.
Required Technical Skills
- Advanced proficiency in MS Office Suite (PowerPoint, Excel, Word, Outlook) for deck formatting and data entry.
- Working knowledge or hands-on experience with SAP (or similar ERP systems) is highly desirable.
- Strong organizational, record-keeping, and time-management capabilities.
Travel Requirements
- Potentially within the region ~5%.
Additional Requirements:
- Successful candidates must adhere to all safety protocols and proper use of Amrize approved Personal Protection Equipment ("PPE"), including but not limited to respirators. Employees that are required to wear respirators must be clean shaven where the respirator seal meets the face in order to pass the qualitative and quantitative fit tests.
